This privacy notice (“Privacy Policy”) explains how we process, store and share personal data that we collect from you or that you provide to us and for what purposes we use such information.

Please read the following carefully to understand our views and practices regarding your personal data and how we will treat it. By visiting out websites at www.ixam.cloud (or any other site at the sub domain of ixam.cloud) or using any of our services, you are accepting and consenting to the practices described in this Privacy Policy.

In the following, "iXam" will be used as synonym for "ChemIT e.U.".

iXam is a web-based examination system for scientific lectures (especially chemistry). But there is no limitation to use this system in other topics and situations as well.

What personal data we collect from your home organisation

The following data is requested from your home organisation:

  • your unique user identifier (SAML persistent identifier)
  • your given name
  • your surname/family name
  • your email address
  • your European Student Identifier (if available)

Why we collect personal data and legal basis for processing

Personal data is information about you that can be used to identify you personally. We collect personal data to deliver our iXam web-based examination system to you and hand over your results to the examiner only, there will be no other use of personal data outside of this service description.

Remote Proctoring Services

If you choose to take part in an online test where remote proctoring is used, we may collect the following information as well:

Identity checking by ID card

We may require you to show an official (student) ID card. This is used to guarantee that the person in front of the camera is ident to the person that is registered for the test.

This image will be captured by your webcam and will be stored along with your examination data.

Proctoring

During your exam we will record the video from your webcam. This video information is stored securely on our server until the examiner has awarded the grade of your exam. This video is just used to prevent cheating and to investigate fraudulent situations, as well as to ensure that the exam taker is the person registered for the exam.

This information is only collected if you have registered to an exam with online proctoring by iXam.

Third parties to whom personal data is disclosed

Information with your personal data will only be shared with the examiner of the exam you have registered for and to persons who are involved in the examination processing. In case of suspected cheating we may forward your data to other persons within your home institution as well as long as they are responsible for study/school affairs.

Data Retention

In any case personal data is anonymoused or deleted upon personal requests by the user. In addition the following applies:

Self assessment tests

If you have used iXam doing a self assessment test or a survey your data will be deleted after 2 weeks (if the test/survey is not done anonymously).

Exam

12 Months after the examiner has awared a grade to your exam we will anonymize your data (or delete).

Proctoring data

Recorded videos of your webcam and othere proctoring data will be deleted 2 weeks after awarding a grade to your exam, or 6 weeks after taking your exam.

Data Protection Code of Conduct

Your personal data will be protected according to the Code of Conduct for Service Providers, a common standard for the research and higher education sector to protect your privacy.

Changes to our privacy policy

If we make changes to this policy, we will make these accessible by updating this privacy policy document.
